There is a vast amount of knowledge within your organisation, but that knowledge is scattered across folders, documents, policy papers and in the minds of colleagues. Staff waste time searching for information or resorting to public AI tools, which means your company data could easily find its way out of the organisation and end up in the rest of the world outside Europe.
The AI Workspace Assistant is your in-house AI knowledge assistant. Staff ask a question and receive an immediate answer based on your own confidential documentation. Role-based access ensures that information remains strictly segregated by department, so that everyone only sees what is intended for them. Hosted in the EU, managed from the Netherlands and fully GDPR-compliant.
A general search function searches everything for everyone. Our in-house AI knowledge assistant, on the other hand, does the opposite: it provides specialised assistants for each role and department, with strictly segregated access, so that HR documents are not visible to those who are not authorised to see them. What’s more, you can be sure that your data remains within the EU and therefore does not leak to a model elsewhere.

Ask the assistant any questions you have and get the answer based on your own documents, policy papers and manuals. All answers are generated with a source reference, so you can always see where the answer comes from.
We set up specialised assistants for each role and department. An HR assistant who knows the terms and conditions of employment, a legal assistant for contracts, or a content specialist for marketing. Each workplace assistant has its own set of instructions and its own knowledge base.
We link this role-based access to your existing login. This ensures that information remains strictly separated by department and role, in line with the principle that everyone sees only what they need to. You also log in securely using multi-factor authentication.
Want to analyse documents easily? That’s possible too! Upload a document, report or spreadsheet and let the assistant summarise, search through or compare it. This gives you immediate insight without having to sift through everything yourself.
You can also use the built-in note-taking environment, where the assistant takes notes and makes suggestions during (online) meetings. Shared team spaces, where colleagues and the assistant work together on an issue, ensure that everyone has the same overview whilst conversations remain private.
Prefer to speak rather than type? The assistant features multilingual voice control and is also WCAG 2.2 AA-compliant, making it accessible to everyone – not just in every language, but digitally as well.

Finally, a clear dashboard shows how the assistant is being used within the organisation. This is useful for management purposes and can be presented to your board or during an audit.

You decide where the assistant runs. We build the entire environment using Infrastructure as Code: the complete infrastructure is defined as code and is therefore reproducible. This means we can deploy the assistant wherever you want: in our sovereign EU cloud, with a European cloud provider of your choice, or in your own data centre. This way, even at the infrastructure level, you are not tied to anything – not even to us.

Frequently Asked Questions
Does our data really stay within Europe?
Yes. All your data and communications are hosted within the EU and managed from the Netherlands. Access to data takes place exclusively within the EU under Dutch jurisdiction. Your data is not subject to the US CLOUD Act or any other non-European legislation.
Can the assistant access information that someone is not authorised to see?
No. Access is role-based and strictly segregated by department and by role. For each query, the assistant draws solely on the knowledge to which that specific member of staff has access, in accordance with the principle that everyone sees only what they need to see.
What does the assistant base his answers on?
Based on your own documents and knowledge sources, not on an opaque public model. You can see the source for every answer, so you can check it. No black box.
What happens when a document changes?
The knowledge base grows with you. If you update a policy document or manual, the assistant will base its answers on the latest version from then on. This ensures the information is always accurate.
Isn’t this the same as using ChatGPT?
No. With public AI tools, your company data often leaves Europe and can be reused to train models. The AI Workspace Assistant runs entirely within your own, sovereign environment. Your knowledge remains yours.
